Previously, they faced: Lead leakage due to scattered capture methods Delay in quotation and invoice processes Manual project management with no integration Inefficient follow-ups for advance and pending payments Separate systems for recruitment, employee management, and payroll The objective was clear: To build a streamlined end-to-end business flow starting from lead generation to project delivery, payment processing, recruitment, and payroll completely within the Zoho ecosystem. The Solution: Complete Digital Transformation Using Zoho Suite Elite Tech Global implemented a comprehensive solution utilizing Zoho CRM, Zoho Forms, Zoho Sign, Zoho Flow, Zoho SalesIQ, Zoho Sprints, Zoho Recruit, Zoho Books, Zoho People, and Zoho Payroll to create an interconnected and efficient operational backbone. Step 1: Lead Generation & CRM Automation Zoho Forms embedded into the website to capture inbound leads. Zoho SalesIQ chatbot integrated to capture leads directly during chat interactions. All incoming leads were automatically pushed into Zoho CRM. Instant acknowledgment emails were sent to both the lead and the assigned sales owner via Zoho Flow. Step 2: Lead Qualification & Conversion The sales team conducted a thorough qualification process. Qualified leads were converted into Account, Contact, and Deal records in Zoho CRM. A Blueprint was implemented in CRM to guide sales teams through every stage consistently. Step 5: Project Creation and Execution Upon advance payment confirmation, projects were created directly from Zoho CRM using a Project Creation Widget. In the widget: Scrum Master assigned Project Details filled Deadlines were set Projects were created automatically in Zoho Sprints and assigned to teams. Step 6: Project Completion and Contract Signing Upon project completion: A Completion Contract Document was automatically generated and sent to the client via Zoho Sign. Client details were pre-filled dynamically. Once signed, project status updates happened in both Zoho CRM and Zoho Sprints automatically. Step 7: Final Payment and Closure If full payment was received initially → Deal moved to Completed Stage. If partial payment was pending → Moved into Pending Payment Process. Upon receipt of the balance amount, the deal was marked as Closed Won in Zoho CRM. Step 8: Recruitment, HR Management, and Payroll For expanding teams, the agency used: Zoho Recruit for hiring processes. Zoho People for managing employee profiles, attendance, and performance. Zoho Payroll for handling employee salaries and statutory compliance.
