Solution Architecture by Elite Tech Global
Shopify Commerce + Zoho CRM + Zoho Inventory - Seamlessly Connected
Step 1: Lead Capture from Shopify
- Multiple category-specific forms were created on the Shopify website.
- When a visitor fills out a form:
- Lead details are automatically pushed into Zoho CRM with relevant product/category context.
- This enabled tailored follow-up by the sales team.
Step 2: Contact Creation and B2B/B2C Segmentation
- Upon lead qualification:
- B2C leads (direct buyers) went through standard order flow on Shopify.
- B2B leads were further processed manually (special pricing, large volume discussions).
- After a lead is qualified:
- Contact information is automatically created in Zoho Inventory via CRM-triggered automation.
- Zoho Inventory becomes the Primary Customer Database for all transactions.
Step 3: Shopify + Zoho Inventory 2-Way Synchronization
- Products Sync: Products created/updated in Zoho Inventory are synced to Shopify.
- Stock Sync: When stock is adjusted (through B2B orders or manual updates), Zoho Inventory updates Shopify stock levels automatically.
- Customer Sync: B2C customer details captured in Shopify sync back to Zoho Inventory as customers.
Step 4: Order Management - B2C and B2B Flows
- B2C Orders:
- Direct orders placed on the Shopify site.
- Payment collected in Shopify.
- Only stock adjustments and product movement reflected in Zoho Inventory.
- B2B Orders:
- Sales team processes orders manually in Zoho Inventory.
- If inventory is insufficient:
- Vendor coordination happens manually.
- Once inventory is confirmed:
- Sales order is created, then converted into an invoice for payment collection.
- Post-payment, the stock is adjusted, and Shopify stock is updated.
Step 5: Data Sync Log Management in Zoho CRM
- A custom module was created in Zoho CRM called "Data Sync Logs."
- Every integration event (lead sync, product sync, order sync) is logged.
- Logs help in tracking sync status, troubleshooting issues, and auditing system performance.
