- Upon successful authentication, users are redirected to the portal dashboard, where they can view their matters and tasks.
Step 2: Matter and Task Access
- For Admins: The sidebar displays a list of all client matters and associated tasks across users. Admins can view records for every client within the system, including active and archived matters.
- For Users: The sidebar only shows matters and tasks associated with the logged-in user (client), so users can only access their personal records.
- Users can:
- Search for matters and tasks
- View matter and related documents
- View documents as accepted, rejected and pending
- View tasks by categories
- Log out
- Click a matter to open task details and documents
- Admin can accept/reject the tasks
- Admin can create matters in web portal
Step 3: Matter Creation and Task Assignment
- When a new client is onboarded, a matter is created in Zoho CRM and the portal.
- Each matter is broken into tasks, which are also created in Zoho CRM and reflected in the portal.
- Clients can track the progress of each task within the portal.
Step 4: Document Upload and Review (Zoho WorkDrive)
- Clients upload documents directly to the relevant task using the Catalyst file store integration.
- Once uploaded, the document is reviewed by the admin:
- If approved, the task is moved forward.
- If rejected, the task is marked as “rejected,” and clients are asked to re-upload the correct documents.
Step 5: Real-Time Task Tracking and Progression
- Clients and admins can view real-time progress for each task within the portal.
- As tasks are reviewed and accepted/rejected, the status is automatically updated in both Zoho CRM and the portal.
- The portal supports a step-by-step progression view for each matter.
Step 6: Admin Approval and Task Progression
- Admins receive real-time notifications when a client uploads a document.
- Upon reviewing the documents, the admin can approve or reject them.
- Rejected tasks will prompt the client to re-upload the necessary documents, and the task status is updated in the portal.

- If accepted, the task is moved to the completed category.
